Net One Systems introduces hosted Email and Instant Message Archiving and Compliance services to Japan from Global Relay
Meets North American email compliance standards – the most stringent in the world
TOKYO, Japan - October 28, 2008 - Net One Systems Co., Ltd., Japan's leading network systems integrator, today announced that it has entered into a distribution agreement with Global Relay Communications, the global leader in hosted email archiving and compliance solutions, to launch the Message Archiver, a software-as-a-service (SaaS) based email and instant message archiving service to address the growing demands of Japanese businesses to protect their business communications for email compliance, electronic legal discovery, business continuity and email management and storage optimization.
Message Archiver is an email and instant message archiving service that meets North American standards for compliance – the strictest in the world – and will be offered for the first time in Japan through Net One Systems. Potential clients range from large enterprises who operate internationally and need to reinforce their compliance measures, to small businesses seeking to introduce such services quickly and economically. Sales are anticipated to be one billion yen within three years.

Main features of the Message Archiver service

Message archiving enables audit trail tracking in the event of an incident, such as data leakage, guarantees message legitimacy by uniformly controlling all corporate messages, and has mainly been introduced across North America. From the perspective of supply chain risk management, meeting North American standards for email compliance is now assumed to be a default requirement for Japanese companies when trading with overseas companies subject to North American legislation. Recently within Japan, the introduction of email and instant message archiving has been promoted in line with increased awareness of compliance and internal controls such as Japan's newly enacted version of the US Sarbanes-Oxley legislation (J-SOX), which came into effect on April 1, 2008. Global Relay's Message Archiver, in addition to compliance mandates under SEC, FINRA and FRCP in North America, meets J-SOX requirements for Japanese businesses in order to manage and preserve business email and documents using long term storage and quick retrieval, as well as to control and supervise employee access to and disclosure of information.

Message Archiver service details
- Secure tamper-protected storage of all internal and external emails for up to seven years.
Copies of all messages delivered internally and externally are kept in storage with a redundant configuration, as well as being sent to two physically separated data centers (certified to SAS 70 Type II standards). The message data is encrypted twice with AES and RSA encryption and saved on WORM (Write Once Read Many) storage to prevent tampering.
- Messages and their attachments can quickly and easily be searched via the web using a dedicated management tool designed to also support audit and electronic discovery requirements
Message Archiver provides a dedicated tool with a real-time monitoring and auditing function with support for electronic legal discovery (eDiscovery). For example, searches can be defined by senders, receivers (including bcc), titles, text, dates, and attachments in archived emails. With search indexing for Japanese and Asian character sets, data for all archived messages can be searched within seconds via a simple web-based operation on a unique search engine.

The SaaS model is fully managed enabling companies to cut back on their initial investment, such as for software and hardware, and eliminates the need for a dedicated operator. The archiving service can be applied flexibly to all existing mail systems (Exchange, Notes, Unix etc.) and instant messaging types (AOL, MSN, Yahoo!, Jabber, Bloomberg, Reuters, BlackBerry), enabling seamless introduction within a short period.
